Terms of Service

By installing and using any FormGoat.AI product — including the Chrome browser extension, the web application, or the iOS/Android mobile application — you agree to these Terms of Service. FormGoat.AI is a service that processes document data to assist with form filling. It operates under European Union legislation.

When using FormGoat.AI, you acknowledge and agree that:

• You must review all data in forms after automatic filling. The service assists in form filling but does not guarantee accuracy.
• You use this service at your own risk. FormGoat.AI is not responsible for any consequences of using automatically filled data.
• We are not liable for any form corruption, data loss, or any other damages that may occur while using our service.
• The service is provided "as is" without warranties of any kind, either express or implied.

Prohibited Uses:

• You may not use FormGoat.AI for any illegal purposes, including but not limited to:
  • Fraud or attempted fraud
  • Document forgery
  • Identity theft
  • Submission of false information to any organization
• Any violation of these terms may result in immediate termination of your account and service access.

Purchases and Subscriptions

Web & Chrome Extension (Stripe)

Subscriptions purchased through the FormGoat.AI website or Chrome extension are processed by Stripe.

• Subscriptions automatically renew at the end of each billing period unless cancelled.
• You can cancel at any time. Cancellation takes effect at the end of the current billing period.
• Price changes will be notified by email at least 30 days before taking effect.

Refund Policy (web/extension):

• First billing period: Refunds are available if no services have been used.
• Subsequent periods: Refunds possible within 3 days of the new period, if no services have been used.
• All refund requests must be submitted to [email protected] with your order details.

Mobile App (Apple App Store / Google Play)

Subscriptions purchased inside the iOS or Android application are processed exclusively by Apple App Store or Google Play respectively, in accordance with their billing terms.

• All billing, renewal, and cancellation is managed by Apple or Google in their respective store settings.
• Refunds for in-app purchases must be requested directly through Apple (reportaproblem.apple.com) or Google Play.
• FormGoat.AI does not process or issue refunds for in-app purchases.
• The subscription grants the same usage limits as the equivalent web plan (PLUS: 200 fills/month, PREMIUM: 2000 fills/month).
• Your usage quota is shared across all platforms (Chrome, web, iOS, Android) under the same account.

Privacy Policy

Data We Collect

We collect only the data necessary to provide the service:

• Account data: name, email address, and sign-up date.
• Authentication identifiers: Google Account ID (when signing in with Google) and Apple ID (when using Sign In with Apple). These stable identifiers allow us to recognise your account even if your email changes.
• Documents you upload: source documents (e.g. passport scan, certificates) and form templates (PDF or DOCX), used solely to provide the filling service.
• Filled documents: the output files generated by the service, stored in your in-app history.
• Platform usage: which platforms (iOS, Android, Chrome, Web) you have used, and when.
• Subscription and billing records: subscription tier, balance, and anonymised IAP transaction identifiers (retained for billing dispute resolution even after account deletion).
• Analytics: anonymous usage metrics via Google Analytics (page views, feature usage).

How We Use Your Data

• To authenticate you and provide your personalised account.
• To process your documents and fill your forms (the core service).
• To maintain your document history for re-download.
• To manage your subscription and usage quota.
• To improve the service through anonymous analytics.
• For transactional communications (account alerts, service notifications) — no marketing emails.

Third-Party Processors

Your documents are processed by the following sub-processors under standard contractual clauses (SCCs). By using FormGoat.AI you consent to this processing.

• OpenAI — AI-powered text analysis and field extraction.
• Google Cloud Vision — OCR for scanned documents and images.
• Google Gemini — alternative AI model for document analysis.
• Stripe — payment processing for web and extension subscriptions.
• Apple App Store — in-app purchases and Sign In with Apple (iOS app).
• Google Play — in-app purchases and Google Sign In (Android app).
• Mailgun — transactional email delivery.
• Google Analytics — anonymous usage analytics.

We do not sell or share your personal data with any other third parties.

Data Retention

• Uploaded source files: stored on our servers for a maximum of 14 days, then automatically and permanently deleted.
• Filled documents (mobile history): stored until you delete them from the app or delete your account.
• Extracted form data: stored for up to 1 year to allow reuse. You can delete any record at any time from the extension or app interface.
• Account data: retained until you delete your account.
• Anonymised IAP transaction records: retained indefinitely for billing dispute purposes; the link to your account is removed upon account deletion.
• Retention may be extended if required by applicable law or a law enforcement request.

Authentication and Security

• Sign In with Google and Sign In with Apple use industry-standard OAuth 2.0 / OpenID Connect flows. We receive only the identity token from these providers; we never see your Google or Apple password.
• All communication between the app and our servers is encrypted via HTTPS/TLS.

Your Rights (GDPR)

As a user in the European Union or EEA, you have the following rights under the GDPR:

• Right to access: you can request a copy of the personal data we hold about you.
• Right to erasure ("right to be forgotten"): you can delete your account and all associated data directly from the Settings screen in the app, or by contacting us. Deletion is immediate and permanent for personal data (some anonymised billing records are retained — see Data Retention above).
• Right to rectification: you can request correction of inaccurate data by contacting us.
• Right to data portability: you can request an export of your data in a machine-readable format.
• Right to object / restrict processing: you can object to processing or request restriction in certain circumstances.
• To exercise any of these rights, contact [email protected]. We will respond within 30 days.

Account Deletion

• In-app: Settings → Delete Account (confirmed by biometric). Deletion is immediate.
• By email: send a request to [email protected]. Processed within 30 days.
• Upon deletion: name, email, and all document data are permanently removed. Anonymised IAP billing records are retained as described above.

Email Usage

• We use your email address only for transactional purposes: service notifications, account alerts, and support responses.
• We do not send marketing or promotional emails.
• We do not share your email address with third parties (except processors listed above who require it to deliver the service).

Analytics and Cookies

• We use Google Analytics to collect anonymous usage data (page views, feature usage patterns).
• Cookie preferences can be managed via the consent banner displayed on first visit.
• The mobile app does not use browser cookies; analytics are collected via the Google Analytics SDK.
